Too many meetings?

That was the problem at Bath and North East Somerset Council. With 70 councillors on 30 committees and with meetings every day, they needed a way to schedule regular and ad-hoc meetings and to send the meeting invitations to Outlook. So they asked us to create COCOA.

The Councillor Committee Application manages Councillors, their memberships of Committees and appointments to outside organisations, attendance, document distribution and election results. Reports come from within the Access front-end or the web interface.

COCOA stores data in a SQL database which is also used for some web pages on the Council web site. COCOA has an Access front-end and also interfaces to Exchange. As well as COCOA we developed DocWizz, a suite of Microsoft Word macros to help write documents for the meetings. Each meeting has an agenda, a set of minutes, an action sheet and a document on the intranet: DocWizz helps users go through the whole process with a minimum of typing.
